Planning an alumni reunion?

Designate a Reunion Coordinator

As a reunion coordinator, your task is to manage and coordinate various aspects of the reunion. You will be working with the alumni office and a team of your classmates (your organizing committee) to draft a thorough plan for the reunion. Here is a step to step guide to help you get you a head start in your planning process. Time management is key to planning a successful reunion. Experience has taught us that reunions require a good amount of advance time warning to be planned in the smoothest manner possible.

Get Your Class List

You can obtain your class list from the Cumming School of Medicine Alumni Relations Specialist, Leigh Hurst. In order for the University to release the list to you, you must first read, sign and return a copy of University of Calgary Confidentiality Undertaking.

Alumni Relations would appreciate your help in updating any contact information we have provided to you. Following the Reunion we would kindly ask for any updates you received from your classmates as well as a complete list of attendees.

Form an Organizing Committee

Once you have the class list, you can begin recruiting your organizing committee. A strong and committed organizing committee is an essential component of a successful reunion. Your goal is to strike a committee that is highly committed to planning the best reunion possible!

Set a Date and Book a Venue

Most accommodations and venues require booking requests to be made months in advance. We recommend that you book the venue at least 6 months prior to your reunion date. Make sure that the date you select is convenient for the largest number of your classmates to attend.

For more information on the accommodation and venue options please refer to the event contact list.  For ideas for activities in the location you have chosen, visit www.travelalberta.com, www.banff.com, www.kananaskisalberta.ca, etc.

Contacting Your Classmates

Once you have solidified your plans for the reunions, you can start informing your classmates about your reunion plans. The Alumni Association will facilitate your correspondence with your classmates by working with you to produce letters or electronic invites and registration pages. For sample correspondence, you can visit the Reunion Publicity and Communications page

Class Gifts

Many classes have taken the opportunity to initiate a Reunion Class Gift in honour of their reunion year, as a memorial to one of your classmates, or to build on existing funds. With the assistance of the Major Gifts Advisor, Development, Andrea Ostergard, your class can choose a specific project or area of need that is of interest to you and a campaign to raise funds for your project could be launched in the months prior to your reunion weekend. This would culminate with a gift presentation to the Associate Dean of Undergraduate Medical Education or another designate during your reunion.   A class gift offers your class a unique way to honour the past while building the future. For more information on class giving, please email, Andrea Ostergard.
