Funding

The Undergraduate Health and Science conference funding program is intended to offset costs associated with student research presentations at regional, national or international conferences of academic research societies that:

  • expose the research and scholarship activities of BHSc and BCR students & the University of Calgary to a wider audience,
  • make the programs and activities of the University better known and acknowledged in the scholarly community, and
  • provide an opportunity for students to become acquainted with their regional, national or international peers and the most recent advances in their field of research.

Who qualifies for funding? 

To qualify for conference funding, applicants must be:

  • a full time continuing BHSc or BCR student in good academic standing, or a recent* graduate of the BHSc or BCR program (*limited to four (4) months after graduation)
  • be the official presenter of the results of their research and/or scholarship activities

       NOTE: Priority will be given to a) first time applicants b) continuing students

Conference Eligibility

Sponsorship of the meeting by a recognized academic or scientific society (national or international) is a requirement for funding eligibility.

Annual meetings of national scholarly or professional organizations are eligible only if they have a clear research and scientific focus. It is expected that the majority of attendees to such conference or meeting events will be scientific scholars or researchers/clinicians.

Funding will NOT be considered for predominantly student-led meetings or events.

Maximum amount

The maximum award available is $1,000.00, and is restricted to airfare/transportation, registration, and/or accommodation expenses (meal expenses are NOT eligible, whether per diem or actuals). Travel must be made between the current eligible funding period, which is now CLOSED.

The amount awarded is determined using the budget information provided at the time of application and is fixed at the time of award.  

NOTE: You will also be asked to indicate whether you have applied for additional conference or travel award funding from another organization in addition to this award application, providing details if applicable.

Application form 

The application form is a fillable pdf form that can then be saved for submission. Complete application packages are to be submitted to the Undergraduate Health and Science Education office, to the attention of Kate McGillis (Manager, Operations).

Applicants are responsible for reading all relevant material before submitting an application and for providing all supplementary materials. Incomplete applications will not be accepted.

Applications are judged according to the significance of the benefits likely to be gained by the student and the University in general.

Background information on the conference must be attached at the time of application.  The Review Committee may not include a member from an applicant’s discipline.  A web-site URL is not considered adequate background information.

Only one successful application per person per year is permitted.

Applications that are incomplete, or in which the required information is not provided in the manner requested will not be considered.

When are you notified? 

Successful applicants will be advised no later than one month following the submission of their application.

Expense report

All awardees will be required to incur their conference expenses in advance and will then be required to file an expense report (including original receipts and boarding passes) to be reimbursed the amount of their approved funding.  Expenses cannot be reimbursed without original receipts and airline boarding passes (if applicable). 

To file an expense report, the awardee will submit an online Travel Expense Claim within PeopleSoft, accessed by signing into their MyUofC account. Specific instructions will be provided to individuals with their notice of award details.

Items to submit upon return

We ask that all award recipients and their Supervisors advise the Undergraduate Health and Science Education office upon their return from the meeting of the following conference presentation details:

1. Will the abstract for the conference be published (i.e. conference proceedings, etc.)?

2. Did the poster or oral presentation receive any award or recognition at the conference?

3. Will the research presented at the conference become a peer-reviewed publication?
