Trial administration and management services

CCCR’s Trial administration and management services provide financial and study-related administrative support for all aspects of a clinical trial, from start-up to close out. Our team ensures study expenses are managed properly, assists with billing cycles and provides financial insights that help you administer clinical trials more efficiently. 

Our trial administration and management services include:


Finance support:

The CCCR provides the following finance support services:

  • Expert support on items such as budget analysis and future spending forecasts for industry sponsored projects.
  • Support for unallocated funds distribution.
  • Residual project set-up.
  • EFT payment administration.
  • Complete billing support for trials run through the Heritage Medical Research Clinic (HMRC).

AHS Service payments:

The CCCR offers the following services to assist researchers with payments related to use of Alberta Health Services (AHS) facilities:

  • Providing full coordination of invoicing and payments for AHS pharmacy services used in research.
  • Includes billing for pharmacy set-up, maintenance and dispensing fees.
  • Invoices are sent directly to the investigator, and funds are automatically withdrawn from project account.
  • The CCCR uses quarterly billing cycles for AHS Service Payments.

Project closure and archiving:

The standard Project closure and archiving process begins when the Sponsor confirms with the research team that all work on the clinical trial has been completed, and the relationship between the researcher and the Sponsor on the project has ended. The CCCR provides study closure and archiving services to both industry funded and non-industry funded projects, including guidance regarding:

  • Financial close-out
  • Allocation of residual funds
  • Project closure coordination with ethics and legal teams

Project closures:

  • To initiate a project closure, fill out the Project Closure Form.
    • Confirmation of study closure from Ethics is required before submitting a closure request.
    • Please create a residual project before closing out a project. The CCCR can assist with residual project code creation. 
    • Closure requests can only be submitted once all sponsor payments have been received and deposited.
  • Once closure form is received, the CCCR will work with the archives office and RTA to close the project.

How to request trial administration and management services:

In order to receive services, researchers must hold an academic appointment at the University of Calgary.
