Abstract Submission Guidelines

Required Abstract Structure

Abstracts must clearly follow these four sections in order:

  1. Aims
  2. Methods (must be concise)
  3. Results (must present significant new data; avoid vague statements)
  4. Conclusions

Abstracts must include four sections: Aims, Methods, Results, and Conclusions.
Methods should be concise, and Results must present significant new data; avoid vague statements.
Figures and tables may be included if they fit on a single 8.5" x 11" page. Please embed all visuals directly in the Word document and avoid overly complex graphics.

Submission Formatting & Requirements

  • Maximum length: 250 words (excluding title, authors, and affiliations).
  • Title must be in ALL CAPITAL LETTERS.
  • Indicate the presenting author by underlining their name in the author list.
  • Authors separated by commas; affiliations listed on the next line (not indented).
  • Page format: 8.5" x 11" with 2 cm (3/4 inch) margins.
  • Page limit: One page.
  • Use single line spacing, normal character spacing, and 11-point Calibri font. Minimal use of bold or italics is allowed.
  • Do not indent the first line of a paragraph; leave one blank line between paragraphs and section headings.
  • Acknowledge funding bodies at the end of the abstract.
  • Do not include references.

File Submission Specifications

  • File type: MS Word (.doc or .docx).
  • File name: Presenter’s last name followed by the first initial plus "Abstract" (e.g., SmithJAbstract.doc).
  • Maximum file size: 5 MB.

Important: The presenting author must register separately for the conference to be included in the program.

Poster Guidelines

  • Poster size limit: 1.5 m (5 ft) wide × 1.2 m (4 ft) tall.
  • Use a font size legible from approximately ~1.5 m (5 ft) away.
  • Ensure figures, tables, and graphs are easy to interpret.
  • Posters will be displayed on boards; setup and takedown instructions will be provided closer to the conference date.

 

Trainee Talks (3-Minute Mini-Talks)

Selected abstracts will be invited for 3-minute “mini-talks” on either Friday, January 22, or Saturday, January 23, 2027.

  • Dual Requirement: Presenters chosen for a mini-talk must also present a poster during one of the poster sessions.
  • Selection Criteria: Selection is based on scientific merit and relevance to the conference themes.
  • Notification: Presenters will be notified after the abstract review.
