The Calpendo startup guide describes the process for beginning to use our new booking system. Please read carefully!

ACH3T Slack

Before attending your scheduled scan, at least one member of the study team is required to check the ACH3T Slack to ensure that the team is informed of 3T issues. CAIR recommends that staff involved with scanning check the ACH3T Slack at least weekly . If you require access to the CAIR ACH3T Slack, please contact the Research Associate.

Generally, the AHS MRI Tech availability is as follows:

Mondays  10:00am - 3:00pm and 10:00am - 6:00pm every alternating Monday (see schedule below)

Tuesdays - Thursdays   10:00am - 6:00pm

Fridays 10:00am - 3:00pm

Friday evenings, Saturdays and Sundays: See schedule below

There are rare occasions where the technologist is NOT available despite the time period falling within the normally scheduled technologist hours (e.g. due to sickness, emergencies, etc.).  Wherever possible, the time template will be updated to reflect the technologist hours and the clerks will notify researchers with previously scheduled bookings within the periods that are now available for scanning only with a Level 2 operator.  However, this may be difficult or impossible in some cases. Therefore, the clerks/technologists will also attempt to notify the researchers broadly by placing a special booking on the calendar with Study (Project) code "NO_TECH".  This special booking can overlap with existing bookings so that they need not be cancelled without notice. 


IMPORTANT: We require all researchers to check their bookings in the lead-up period (e.g.  5 business days prior to the scan) to determine if it overlaps with a NO_TECH booking. If it does, they should attempt to either find a level 2 operator replacement or cancel their booking. Otherwise, you might schedule a scan stating that it requires a tech and then arrive at the scanner to find that no tech is available.

  1. Studies must contact and book a tech based on the seniority and availability listed on the website.
  • Please allow 48 hours for the most senior tech to respond to your booking requests before contacting the next available tech
  • If a tech is already scheduled for the day a study is attempting to add a booking, this tech should be contacted first.
  1. Studies must include the tech name in the Calpendo description.
  2. At the beginning of the week, studies should email the tech to confirm Tech attendance.

Notes

  • Studies should attempt to book consecutive scans on weekends.
  • Seniority will be followed when possible. Seniority is a “Snapshot” in time, meaning once a tech is booked, they cannot be bumped if a more senior tech becomes available.
  • CAIR reserves the right to not offer extra hours to a tech if scheduling proves difficult. e.g. if the tech changes availability causing disruptions in research bookings or does not attend their confirmed shift.
  • Should any issues arise, they must be communicated immediately to Kirandeep Bisla.

After Hours Tech Availability

Tech availability is provided below. Please note that techs are scheduled on Mondays (10am - 3pm OR 10am - 6pm), Fridays (3:00pm - 7:00pm), Saturdays (8:30am - 4:30pm), and Sundays (9:00am - 4:00pm) when available. If there is an exception to the schedule, it will be listed under the techs name.
